How we work together

From kickoff to booked meetings.

No black box. Here’s the exact timeline every engagement follows.

Weeks 1–2

Setup

Domain warmup, list build, copy, and infrastructure. ICP definition and TAM mapping included — even from zero.

Week 3

Campaigns live

First campaigns typically go live around week 3 — sending, monitoring, and deliverability on us.

Days 10–14

First replies

Most clients see their first qualified replies within 10–14 days of launch, sorted and flagged for you.

Ongoing

Iterate & scale

Weekly 30-min sync, A/B tests, reporting. Target: 15–40 booked meetings per month depending on tier.

Your part: about 1–2 hours a week — approvals, answering flagged replies, attending the meetings.

Under the hood

Why companies trust ReplyWorks.

Most cold email doesn’t fail because of copy. It fails because of poor infrastructure and poor deliverability — so that’s where the system starts.

Dedicated sending domains

We never send from your primary domain — dedicated domains, procured and warmed. Your main domain stays clean.

SPF · DKIM · DMARC

Authentication done properly — so your emails land in inboxes, not spam folders.

Domain warm-up

Every inbox is warmed gradually before campaigns begin — no cold domains hitting spam on day one.

Deliverability monitoring

Campaigns keep reaching real inboxes instead of silently losing performance — watched daily, fixed before you notice.

Blacklist checks

SPF, DKIM, DMARC, MX and blacklists checked continuously — issues caught before they cost you replies.

Weekly reporting

You always know what’s working, what changed, and where the next meetings are coming from.

The problem

Most outbound fails before the first email is sent.

It’s not just the copy. The infrastructure, targeting, and system behind it are usually broken from day one.

Sending from 1–2 inboxes and hoping for the best

  • No dedicated sending domains — using your main domain
  • SPF, DKIM, DMARC not configured or misconfigured
  • No warmup — cold domains hitting spam immediately
  • One inbox doing all the work instead of proper rotation

Targeting everyone and converting no one

  • Buying random lead lists with no verification
  • Emailing anyone with a VP title and a pulse
  • No enrichment — no context on who you’re reaching
  • Same generic message to every single prospect

No system — just sending and hoping

  • Copy-pasting templates from a blog post you read
  • No A/B testing, no iteration, no data to learn from
  • Hired a freelancer or VA running the same playbook as everyone else
  • No follow-up sequences, no multichannel, no process
Cost of inaction

You’re not just missing leads — you’re leaking pipeline.

If your average deal size is $3K–$10K, missing even 2–3 qualified conversations a week means:

  • $25K–$100K+ in lost pipeline every month
  • Deals your competitors are closing instead
  • Growth capped by inbound and referrals

Outbound isn’t optional at this stage — it’s the missing growth lever.

What makes us different

This replaces hiring an outbound team.

Three common paths to outbound — and why each one leaves gaps. Then what we actually do instead.

In-house SDR
  • 2–3 months to hire and ramp
  • $5K–$8K/month before results
  • Requires management + tooling
  • Restart risk if they leave
Generic agency
  • Execution without real GTM strategy
  • Generic lists and messaging
  • Junior operators on the account
Freelancer
  • Only one piece handled (copy / leads / sending)
  • No infrastructure or deliverability control
  • No iteration system after launch
ReplyWorks The full system
  • Strategy + infrastructure + execution, under one roof
  • Signal-based personalized copy that reads human, not templated
  • Dedicated operators running outbound daily

You don’t hire a person — you get the full system. Campaigns live in 2–3 weeks, a fraction of SDR cost, built to generate pipeline.

At a glance

ReplyWorks
  • Full outbound system
  • 2–3 weeks to launch
  • $500–$1,500/month
Agencies / Freelancers
  • Partial execution
  • Slower timelines
  • Generic approach
In-house SDR
  • 2–3 month ramp
  • $5K–$8K+/month
  • Requires management

Real client outcomes

One deal can pay for months.

If your average deal is $2K–$10K+, outbound doesn’t need to go viral to make sense. Even a few qualified conversations per week covers the cost.

Is this a fit?

Who this works best for.

We work with B2B teams that need consistent pipeline — not experiments.

Best fit

  • B2B SaaS companies that sell to other businesses
  • Agencies and consultancies with high-ticket services
  • Founders who need outbound volume but can’t hire an SDR team yet
  • Companies that tried outbound before but it didn’t stick
  • Teams that want someone to run the system — not just advise on it

Probably not a fit

  • B2C or low-ticket offers — the math doesn’t work for outbound
  • Expecting 50 meetings in week one — outbound needs time to ramp
  • Want to blast 100K emails with no targeting or personalization
  • Still figuring out your offer or who you sell to
  • Not willing to iterate — outbound is a system, not a one-shot campaign
Common questions

What founders ask us before they start.

If it’s not here, book the audit call — easier to answer live.

How is this different from a generic lead-gen agency?
Most agencies only send emails — they don’t own domain setup, deliverability, or ICP/targeting work. We build the full outbound system (infrastructure, lists, copy, sending, reply handling, reporting) with senior operators — the same small team that builds your system runs it. If deliverability drops or reply quality dips, it’s on us to fix it, not on you to manage another vendor.
How long until I see meetings booked?
Weeks 1–2 are setup (domain warmup, list build, copy, infrastructure). Campaigns typically go live around week 3, and most clients see their first qualified replies within 10–14 days of launch. We target 15–40 booked meetings per month depending on volume tier, industry, and offer.
What if my domain reputation gets damaged?
It won’t — because we never send from your primary domain. We procure and warm up dedicated sending domains specifically for cold outbound, with proper SPF, DKIM, and DMARC. Your main domain stays clean.
Do I need to have a full ICP and list already?
No. ICP definition and TAM mapping are included. We run a strategy session, define the segments worth targeting, and build verified lists from Apollo, Sales Nav, and Clay enrichment. If you already have a list, we audit and clean it first.
How much involvement do you need from me?
About 1–2 hours/week. One weekly 30-min sync, async approvals on copy and ICP, and you handle replies (we sort and flag them for you). Everything else — sending, monitoring, A/B tests, reporting — is on us.
What does this cost and is there a contract?
Plans start at $500/mo and go up to around $1,500/mo depending on volume and segment count. 90-day pilot, then month-to-month. We won’t take you on if it isn’t a fit — the audit call is free and the audit doc is yours whether you sign or not.

Syed · Founder, ReplyWorks

I’ve spent 8+ years running B2B outbound — 400+ projects for 50+ companies, every one run hands-on with a small senior team. When deliverability dips or reply quality drops, it’s my problem before you notice it. And if we’re not a fit, I’ll tell you on the first call — the audit doc is yours whether you sign or not.
